AI for insights and analytics
A trust of 28 schools holds 4,200 licences with 1,900 active users, renews in seven months, and is recorded as 28 small customers with no one owning the trust conversation. AI analytics reads the licence, usage, contract and CRM files, and answers the head of sales: which renewals are at risk, and where is adoption failing.
These are the questions education providers ask. Each one maps to a measure our tools compute from your files. The AI model chooses the measure and explains the result; the arithmetic is done by our code, and every total is checked.
| The question | The measure behind it | What comes back |
|---|---|---|
| Which contracts are at risk at renewal? | Renewal watch | Contracts inside the window with low utilisation, no contact, or a budget decision pending, by value. |
| Where are licences unused? | Licence utilisation | Active users over licences by school, trust and product, with the ones below threshold. |
| Did the uplift we proposed at renewal land? | Uplift realised against proposed | Renewed value against proposed value, by account and rep, with the discounts. |
| Are we in front of the trust before it sets its budget? | Budget cycle coverage | Accounts with a logged conversation before their budget date over accounts due, by region. |
| Which purchase cohorts adopted, and which stalled? | Adoption by purchase cohort | Utilisation by the month of purchase, with onboarding completion beside it. |
| How much of a group or trust do we hold? | Group and trust penetration | Schools served over schools in the group, with the contracting entity. |
Every figure below was computed by a tool from the rows and checked before it was shown. The lines sum; the percentages match; each line opens to the rows that make it.
How much renewal value is at risk on low utilisation?
Renewal value at risk in the next nine months on accounts below 50 percent utilisation is $1.4m across 3 regions. North region holds $690k, 51% of it.
| North region | $690k | 51% of the total |
| Midlands region | $410k | 30% of the total |
| South region | $260k | 19% of the total |
| The 3 lines sum to | $1.4m | 0 unexplained |
Which North accounts?
3 accounts hold $362k of the $690k at risk in the North region, 52% of it. The largest is a trust recorded as 28 separate schools, and its budget is set three months before the contract ends.
| Oakridge Academy Trust | $168k | 4,200 licences; 45% active; budget set in 3 months |
| Hillcrest Schools Group | $120k | 9 schools; 31% active |
| Fenland College | $74k | renewal in 5 months; no contact logged |
| These 3 are | $362k | 52% of North region |
Who takes the trust conversation?
A named account manager, before the budget meeting, with the school-by-school utilisation in hand and an adoption plan for the nine schools under 20 percent. The trust becomes one account in the CRM.
| Account manager, Oakridge | Meet the trust with school-level utilisation before its budget date | Next 6 weeks |
| Customer success | Run onboarding at the nine schools under 20% active | This term |
| Head of sales | Review the renewal watch weekly in budget season | Weekly |
Each measure has one formula, one source and one meaning. They are computed per account manager and region and in total, and every one carries an identity that must hold before it is shown.
| Measure | Formula | From | What it tells you |
|---|---|---|---|
| Licence utilisation | Active users in term ÷ seats or licences bought, per institution, against the curve for its months since start | Usage export; contract file | Institutions that will reduce or cancel |
| Renewal rate, count and value | Contracts renewed ÷ due; prior value of renewed ÷ prior value due | Contract file | Whether the ones leaving are the large ones |
| Renewal watch | Institutions renewing within two terms with utilisation under the threshold, by value | Usage export; contract file | The call list, while the budget is open |
| Uplift realised against proposed | Renewed price ÷ prior price − 1, against the uplift proposed | Contract file; proposals | Increases negotiated away |
| Programme and product fit | Products held ÷ products relevant to the phase, size and curriculum | Ledger; customer master | Institutions with half of what would suit them |
| Group and trust penetration | Schools in the group using the product ÷ schools in the group | Customer master with group links; ledger | Groups where a third of schools are customers |
| Adoption by purchase cohort | Products held and usage now, by year of first purchase | Ledger; usage | Whether older customers deepen or fade |
| Budget cycle coverage | Value of renewals with a two-way contact inside the budget window ÷ value due | CRM; contract file; budget calendar | Renewals nobody spoke to in time |
| Onboarding completion | New institutions reaching the setup and first-use milestones within a term ÷ new institutions | Usage; onboarding records | First renewals at risk from the start |
| Concentration by contracting entity | Top ten entities' share of revenue, with schools rolled up | Ledger; customer master | Dependence visible only after roll-up |
Each measure is worked through, with the export it comes from and what to drop, in Sales KPIs for education and edtech providers.
From your question and the measures declared for education, the model picks the one that answers it, and the period and comparison the question implies.
Deterministic code reads the rows, computes the measure, and checks the identities below. The same question on the same data gives the same answer, every time.
The AI model writes the sentence around the result, naming the account manager or account behind it. It states no figure that is not in the result, and every figure links to its rows.
| Licences | Licences bought = active + inactive assigned + unassigned |
| Renewals | Due = renewed + reduced + lost + pending |
| Groups | Every school links to one contracting entity or is marked independent |
| Cohorts | Cohort revenue sums to the ledger |
The exports education providers already produce. Column names are mapped once and the mapping is reused. A file is the way in; scheduled delivery and connections to your systems come with the plan, and every source is listed here.
An answer is a list with an owner and a cadence, or it is a chart nobody works.
| Measures | Owner | Cadence |
|---|---|---|
| Renewal watch; budget cycle coverage | Account managers; head of sales | Monthly, weekly in budget season |
| Utilisation; onboarding completion | Customer success | Monthly |
| Renewal rate; uplift realised | Chief executive; finance | Termly |
| Group penetration; fit; concentration | Head of sales | Termly |
Because one decision at the trust covers 168,000 a year, and it is made at the trust's budget meeting three months before the contract ends. Recorded as 28 small customers, that decision has no owner. The tool rolls schools up to their contracting entity and puts the budget date on the renewal watch.
Active users in term over licences held, by school and product, from the usage export. Holiday weeks are excluded by the calendar you provide. A trust at 45 percent overall can have eleven schools above 70 and nine below 20, and the page shows both the total and the split.
Adoption by purchase cohort sets utilisation against the month the licences were bought and whether onboarding was completed. Cohorts that completed onboarding and still stalled are a product question; cohorts that never completed it are a customer success question. The figures separate the two.
Licences and active users by school and month, contracts with renewal dates and values, the CRM contact log, and the group or trust hierarchy. Budget dates by account, where known, add budget cycle coverage.
