Design a producer book review that separates ownership and outcomes

Review assigned clients, renewal outcomes, income movements and evidence gaps. Keep transfers and producer credit rules explicit.

A producer review can become a debate over whose accounts are included instead of what the records show. Starting with scope and ownership reduces that confusion. The report should then connect income and relationship movements to checkable account evidence rather than rank producers on a single number.

Define the data before the metric

One row represents: one producer portfolio snapshot with client-level and policy-term supporting records.

Useful fields: Producer ID, ownership basis, client IDs, transfer movements, commission and fees, renewal maturity, qualified opportunities, service context and data exceptions.

Define whether the review concerns the current portfolio or historical attributed performance. Show transfers and split credit separately. Use the existing KPI definitions for measures, but select only those relevant to the discussion. Add a short list of material account changes with evidence rather than a generic league table.

A producer can inherit a larger book and simultaneously have weak new-client conversion. The portfolio and acquisition views should both be visible, but one should not substitute for the other. Likewise, a low renewal result needs account context before it becomes a conclusion about individual performance.

  1. Agree the scope with the producer before interpreting any growth or retention comparison.
  2. Open the accounts driving material changes and review recorded reasons, timing and ownership.
  3. Use peer comparisons only where book mix, maturity and source completeness are reasonably comparable.

Checks before publishing

  • Reconcile producer income to its allocation and ownership rules.
  • Keep pending renewals outside a final-outcome comparison or show the unresolved share clearly.
  • Prevent imported or transferred clients from appearing as externally won agency relationships.
