A wallet estimate can remain numerically plausible after its evidence becomes old. This wallet-evidence refresh log makes the next review date and the person responsible visible. Its live formulas separate evidence that is current, due, pending, rejected or incomplete. Use it as a small maintenance record beside the account analysis, rather than overwriting the source label whenever a new figure arrives.
Record the customer/category, evidence reference, recorded date, review interval in days, last review, any updated wallet amount, disposition and owner. The interval is your team’s policy input, not an industry benchmark. B4 is a fixed as-of date. Changing that date updates the due population without altering historical source dates. Keep evidence references brief and store the supporting documents in your own records.
Keep the amber inputs separate from the pale blue calculation columns. The worksheet has 20 prefilled detail rows, from 13 through 32. If you need more records, extend every affected formula and summary range together, then check a first, middle and final row. Save a dated working copy before replacing the sample.
C-301 was last reviewed on July 1 with a 90-day interval, so its next review was September 29. On October 6 it is Due. C-302 was reviewed September 30 with a 90-day interval and is Confirmed, so it is Current. C-303 is overdue, C-304 is Rejected, and C-305 lacks an owner. The sample shows two due records and only one current record.
Next review date is the later of the recorded date and last-reviewed date, plus the review interval. A missing or nonpositive interval produces n.a. rather than an artificial date. Disposition and ownership are separate prerequisites: extending the date while leaving Pending does not make a record Current. The top counts read these row statuses and update when the date, interval or review outcome changes.
Current means reviewed under the stated cadence; it does not mean the wallet was independently observed. A seasonal business, acquisition or major customer change may require an earlier review than the interval suggests. The workbook does not collect source documents, notify owners or revise a downstream report automatically. Decide those responsibilities before using the log for recurring reporting.
